Privacy Policy

FieldPhoto Connect ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. It applies to all users of the FieldPhoto Connect platform — BPO field agents, field photographers, and visitors.

Overview

We collect only the information necessary to operate the marketplace — connecting agents who need property photographs with photographers who fulfill those assignments. We do not sell your personal information to third parties, and we do not use it for advertising purposes unrelated to the Platform.

Information We Collect

Information you provide directly

  • Account registration: name, email address, password (hashed — never stored in plain text), and role (Agent or Photographer)
  • Profile information: phone number, business name, and service area (Photographers)
  • Order details: property address, city, state, ZIP code, package type, and any notes you add
  • Payment information: billing details processed and stored by our payment processor (Stripe); we do not store full card numbers
  • Payout information: bank account or PayPal details for Photographer payouts, processed via our payment processor
  • Communications: messages you send to our support team via the contact form or email
  • Application data: documents and sample photos submitted during the Photographer application process

Information collected automatically

  • Log data: IP address, browser type, operating system, referring URL, pages visited, and timestamps
  • Device information: device type, screen resolution, and language settings
  • Usage data: features used, orders placed, jobs accepted, and actions taken within the Platform
  • Cookies and similar technologies: see Section 5 for details

Information from third parties

  • Payment processors (Stripe): transaction status and fraud signals
  • Identity verification services: if we request identity verification for Photographer onboarding

How We Use Your Information

We use the information we collect to:

  • Create and manage your account and authenticate your identity
  • Route photo orders to qualified Photographers in the correct coverage area
  • Process payments from Agents and issue payouts to Photographers
  • Conduct quality control review of submitted photographs
  • Send transactional notifications — order confirmations, delivery alerts, payout confirmations
  • Respond to support requests and resolve disputes
  • Detect and prevent fraud, abuse, and policy violations
  • Improve the Platform through aggregated, anonymized usage analysis
  • Comply with legal obligations

We do not use your personal information to serve third-party advertising. We do not build advertising profiles or sell data to data brokers.

Sharing Your Information

We share your information only in the following circumstances:

With other Platform users (limited)

When an Agent places an order, the assigned Photographer receives the property address and order details necessary to complete the job. Agents do not receive Photographer personal contact details; Photographers do not receive Agent billing information.

With service providers

We share data with trusted vendors who help us operate the Platform, including payment processors (Stripe), cloud hosting providers, email delivery services, and analytics tools. These vendors are contractually bound to use your data only to provide services to us.

For legal reasons

We may disclose information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of FieldPhoto Connect, our users, or the public.

Business transfers

If FieldPhoto Connect is acquired, merged, or undergoes a similar transaction, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

We do not sell, rent, or trade your personal information to any third party for their own marketing purposes.

Cookies & Tracking

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Platform is used. The types of cookies we use:

  • Essential cookies: required for authentication and core Platform functionality — cannot be disabled
  • Preference cookies: remember your settings such as coverage area filters and dashboard tab state
  • Analytics cookies: aggregate, anonymized data about how pages are used — helps us improve the Platform

You can control non-essential cookies through your browser settings. Disabling cookies may affect Platform functionality, including the ability to stay logged in.

We do not use third-party advertising cookies or cross-site tracking technologies.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Specifically:

  • Account data: retained for the life of your account plus 90 days after closure
  • Order records and photographs: retained for 3 years to support dispute resolution and legal compliance
  • Payment records: retained for 7 years as required by financial regulations
  • Support communications: retained for 2 years
  • Log data: retained for 90 days, then deleted or anonymized

When retention periods expire, we securely delete or anonymize your data. You may request earlier deletion as described in Section 8.

Security

We take reasonable technical and organizational measures to protect your information, including:

  • Passwords hashed using bcrypt — never stored in plain text
  • All data transmitted over HTTPS/TLS encryption
  • Payment data handled exclusively by PCI-compliant processors (Stripe)
  • Access to production systems restricted to authorized personnel only
  • Regular dependency and security audits

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at [email protected].

Your Rights & Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: request that inaccurate or incomplete information be corrected
  • Deletion: request that we delete your personal information, subject to legal retention requirements
  • Portability: request your data in a structured, machine-readable format
  • Objection: object to certain processing activities, such as analytics
  • Withdrawal of consent: where processing is based on consent, withdraw it at any time

To exercise any of these rights, email [email protected] with your request. We will respond within 30 days. We may need to verify your identity before processing the request.

If you are located in the European Economic Area or the United Kingdom, you also have the right to lodge a complaint with your local data protection authority.

Children's Privacy

The Platform is not directed to children under the age of 18. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a child under 18, we will delete it promptly. If you believe we have inadvertently collected such information, please contact us at [email protected].

Third-Party Links

The Platform may contain links to third-party websites or services (for example, payment processors or mapping tools). This Privacy Policy does not apply to those third-party sites. We encourage you to review the privacy policies of any third-party services you use.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and notify registered users by email or in-platform notice at least 14 days before the changes take effect. Your continued use of the Platform after the effective date constitutes acceptance of the updated policy.
